JOB TITLE: EVENT MANAGER
DEPARTMENT: SALES/CATERING
REPORTS TO: DIRECTOR OF SALES & EVENTS
ISSUE DATE: MARCH 1, 2024
PURPOSE AND PERFORMANCE GOALS
Responsible for preparing all event documentation and coordinates with Sales, property departments and customer to ensure consistent, high-level service throughout pre-event, event and post-event phases of property events. This
position primarily handles events of average to high complexity. Ensures their property events have a seamless turnover from sales to service back to sales. Recognizes opportunities to maximize revenue opportunities by upselling
and offering enhancements to create outstanding memorable events.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following (other duties may be assigned):
  • Ensures that events progress seamlessly by following established
procedures, collaborating with other employees, and ensuring accuracy.
  • Greets customers during the event phase and hands-off to the Event
Operations team for the execution of details.
  • Adheres to all standards, policies, and procedures.
  • Ensures billing accuracy and conducts bill reviews with the clients prior to
processing the final bill.
  • Manages group room blocks and meeting space for average to large-sized
assigned groups.
  • Identifies operational challenges associated with his/her group and
determines how to best work with the property staff and customer to solve
these challenges and/or develop alternative solutions.
  • Works with the property staff and customers to address operational
challenges associated with his/her group.
  • Uses his/her judgement to integrate current trends in event management
and event design.
  • Acts as liaison between field sales person and customer throughout the
event process (pre-event, event, postevent).
  • Participates in customer site inspections and assists with the sales process
as necessary.
  • Performs other duties and projects as assigned to meet business needs.
  • Solicits feedback from the property departments to identify areas for
improvement to enhance the Event Planner’s experience.
  • Conducts formal pre-and post-event meeting as required to
review/communication group needs and feedback.
  • Leads formal pre-event and post –event meetings for average to large
sized assigned groups.
  • Facilitates various meetings as he/she perceives necessary or is directed
by Director of Event Management. (Banquet Event Order meeting, block
review, catering scrub, Staff Meeting etc).
  • Sets a positive example for guest relations.
  • Coordinates and communicates event details both verbally and in writing to
the customer and property operations.
  • Oversees his/her customer experience from file turnover through the post
event phase until turnover back to sales.

QUALIFICATIONS
  • Requires thorough knowledge of the practices and procedures of the
catering, food and beverage, menu development and pricing.
  • Requires knowledge of the hotel's policies and procedures and the ability to
determine course of action based on these guidelines.
  • Requires ability to investigate and analyze current activities and/or
information involving readily available data and indicating logical
conclusions and recommendations.
  • Must possess communication skills in terms of the ability to negotiate,
convince, sell/upsell and influence professionals and/or hotel guests.
  • Excellent hearing required for verbal interaction with guests and
Employees.
  • Excellent vision required for viewing set-ups.
  • Conveys information and ideas to others in a convincing and engaging
manner through a variety of methods.
  • Identifies and understands issues, problems, and opportunities: obtains and
compares information from different sources to draw conclusions, develop
and evaluate alternatives and solutions, solve problems, and choose course
of action.
  • Exhibits behavioral styles that convey confidence and command respect
from others: makes a good first impression and represents the company in
alignment with its values.
  • Maintains performance level under pressure or when experiencing changes
or challenges in the workplace
EDUCATION AND/OR EXPERIENCE
  • High school diploma or GED; experienced (1-2 years of experience) in event management or related professional area.
OR
  • 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; at least 1 year experience in event management or related professional area required.
LANGUAGE SKILLS
Excellent speech communication skills required for verbal interaction with guests and Employees. Excellent comprehension and literacy required to develop marketing plan, create menus and programs, etc.
MATHEMATICAL SKILLS
Ability to calculate amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

  • Mobility - ability to service clients on a moments notice, variable distances.
  • Continuous standing - function observation, client site inspections (one hour minimum to four hours maximum).
HOURS
Due to the business demands of the hospitality industry, and the fact that the hotel provides guest services 24 hours a day, 7 days a week, any employee may be required to work rotating shifts, including weekends and night shifts.
